Who we are

This website and the BY ANY MEANS coaching program are operated by Craig O’Meara under the business name “omearapeakcoaching”. If you have any question about this policy or your information, contact craig@omearapeakcoaching.com.

What we collect

When you apply, we collect your name, email address, mobile number, optional Instagram username, age, optional note on how you heard about us, your height, current weight, current training week, eating habits, whether you have worked with a coach before, any injuries or health conditions you choose to share, your answers about goals, what success looks like for you, training experience and current challenges, your preferred start date, and your confirmations (age 18+, investment and consent to be contacted).

Some of these answers touch on your health. They are collected only so coaching suitability and safety can be assessed, and they are visible only to Craig.

We also keep a small amount of technical information with each application: a reference number, the date and time it was submitted, and a one-way scrambled fingerprint of the connection used to submit it. The fingerprint cannot be turned back into your address or identity.

If you book a coaching call after applying, your name, email address and application reference are passed to Calendly, the scheduling service we use, so your booking can be matched to your application. Your fitness answers are never sent to Calendly.

How it is used

Your information is used only to review your application and contact you about BY ANY MEANS coaching. After you apply, we send one confirmation email to the address you entered, containing your first name, reference number and a link back to the booking page. If you book a call, Calendly sends its own booking confirmations and reminders. Your information is not sold and is not used for marketing lists.

Who can access it

Applications are stored securely and are visible only to Craig O’Meara through a private, sign-in protected dashboard. When you apply, your answers and a suggested call plan are also emailed to Craig at craig@omearapeakcoaching.com so he can prepare for your consultation. Your confirmation email contains only your first name, reference number and booking link.

A small number of service providers help us operate the site: the hosting and database service that stores applications, the email delivery service that sends confirmations, and Calendly for call bookings. These providers process information only on our behalf, and your information may be stored on servers outside Australia.

AI-assisted call preparation

With your permission, Craig may use selected answers about your goals, challenges and what success looks like to draft a consultation brief through Lovable AI Gateway and OpenAI. He reviews the answers first and removes identifying and health information. Name, contact details, the separate injuries or health answer and private coach notes are not included automatically. AI processing may occur outside Australia. The draft is reviewed by Craig, is not a medical assessment and is not saved in your application or emailed by this tool.

Website activity

We record page visits, application-button clicks, application starts, successful submissions and booking confirmations to understand how visitors find and use the site. These records include the page address, date and time, campaign tags from the link you followed and, for application-related events, an application reference. That reference can be linked to your application. We do not include your fitness answers in these activity records.

Campaign tags are kept in your browser’s session storage during your visit so attribution follows you between pages. These activity records are held by our hosting and database provider and are not publicly accessible. Contact Craig if you would like to request access to or deletion of records linked to your application.

Free guide sign-ups

If you request the free guide, we store your first name, email address, your agreement to be contacted, the date and time, campaign tags from the link you followed and a scrambled fingerprint used only to limit repeated sign-ups. We use this only so Craig can contact you about coaching. Only Craig, signed in as admin, can see it. Contact Craig at any time to ask for your details to be deleted.

Booking a coaching call

The coaching call is a free, no-obligation conversation about your goals and whether BY ANY MEANS suits you. Booking a call does not commit you to purchasing anything. Calendly handles the booking and its own privacy policy applies to the booking details you give it.

Payments

Payments for coaching are arranged separately and directly with us after an application is approved. We do not collect card or payment details through this website.

Spam and abuse protection

To prevent spam, we keep a one-way scrambled fingerprint of the connection used to submit, not your raw internet address.

Retention and deletion

If you do not go on to enrol, your application is deleted within 12 months of submission. If you enrol, your application is kept while you are being coached and deleted within 12 months after coaching ends.

You can request access to, correction of, or deletion of your application at any time by contacting craig@omearapeakcoaching.com, and we aim to respond within 30 days.

Changes to this policy

If how we handle your information changes, we will update this page. The policy above describes our current practices as of October 2026.
